Privacy Policy

Effective October 2, 2026

The short version. This website sets no cookies, runs no analytics or ad trackers, and loads no third-party scripts or fonts. The pilot request form doesn't send anything to us; it opens your own email app, so we only receive what you choose to email. You can ask us to delete your information at any time.

Who we are

Trainwatch LLC ("Trainwatch," "we") is based in Norman, Oklahoma. Questions about this policy: drew@trainwatch.us or (214) 471-2988.

What we collect

When you browse

We don't use cookies, analytics, advertising pixels or similar tracking. Our hosting provider, Vercel, automatically processes basic technical information such as your IP address, browser type and the pages requested, so it can deliver the site and protect it from abuse. We don't use this information to identify you or build profiles. See Vercel's privacy policy.

When you contact us

The pilot request form opens your email app with a pre-filled message; nothing is submitted to or stored on this website. If you email or call us, we receive what you share, typically your name, title, organization, email address, phone number and message. We ask only for what we need to reply.

How we use it

  • To reply to you and discuss a pilot, quote or project.
  • To deliver services your organization has agreed to buy.
  • To keep business records we're legally required to keep, such as contracts and tax records.

We don't sell or rent personal information, use it for advertising, or make automated decisions about you.

Who we share it with

Only with service providers that help us run the business (such as our email and hosting providers), professional advisers under confidentiality, or when the law requires it. If Trainwatch is ever sold or merged, information would transfer under this policy and we'd tell you first.

Public agencies: emails with a city or other public body may become public records under laws such as the Oklahoma Open Records Act or the Texas Public Information Act. Those records are held and released by the agency, not by us.

Email updates

We send occasional updates only to people who asked for them or who already work with us. Every update includes a way to unsubscribe, and replying "unsubscribe" always works. We honor opt-outs within 10 business days.

Cookies

This website doesn't set cookies or use similar technologies such as local storage, tracking pixels or device fingerprinting, so there's nothing to consent to and no cookie banner. If we ever add analytics or other non-essential cookies, we'll update this policy first and ask for your consent where the law requires it.

Your choices, including deletion

You can ask us to show you, correct, or delete the personal information we hold about you, or to stop contacting you. We honor these requests regardless of where you live.

Request data deletion

We'll confirm we received your request within 10 business days and complete it within 45 days. We may ask you to confirm your identity. If we must keep something (for example, a signed contract or tax record), we'll tell you what we kept and why.

Children

This website is for cities, agencies and businesses, and isn't directed to children under 13. We don't knowingly collect children's personal information; if we learn we have, we'll delete it. Parents can contact us at the address above.

Data from Trainwatch equipment

This policy covers this website. Data collected by Trainwatch equipment installed for a city is governed by that city's written agreement, which sets who owns the data, how long it's kept and who can access it. Cities own their crossing records.

Security

The site is served only over HTTPS, and we limit who can access business email and records. No system is perfectly secure, so please don't email sensitive personal information we haven't asked for.

Changes

If we change this policy we'll update the effective date above, and we'll note significant changes on this page.
